Terms of Service
Last updated: 7 November 2026
These terms explain how ChairBook Pro works, what you can expect from us, and what we expect from businesses and their customers using the Platform. Please read them carefully.
1. About these terms
These Terms of Service ("Terms") govern your use of ChairBook Pro, including the website at chairbookpro.com, the business dashboard, and every business booking page hosted at chairbookpro.com/b/… (together, the "Platform"). "We", "us" and "our" mean ChairBook Pro. "You" means the person or business using the Platform.
By creating an account, ticking the agreement box at sign-up, or making a booking through the Platform, you agree to these Terms. If you are accepting on behalf of a business, you confirm you have authority to bind that business.
2. What ChairBook Pro is
ChairBook Pro is a multi-tenant software-as-a-service platform for barbers, hairdressers and hair salons. It provides online booking pages, appointment and calendar management, staff and working-hours scheduling, customer records, a website builder and a product catalogue. Each business ("Business") has its own separate, isolated account.
3. Our role and the Business's role
We provide the software only. We are not a party to any appointment, service or sale between a Business and its customer.
Each Business is an independent operator and is solely responsible for:
- the services it provides, their quality, safety and any professional standards or licences that apply;
- its prices, deposits, cancellation and no-show policies, and any refunds;
- honouring, rescheduling or cancelling appointments made through its booking page;
- the accuracy of the information on its booking page and website;
- its own legal obligations, including consumer, employment, health and safety and data protection law in relation to its customers.
Customers with a question or complaint about an appointment or service should contact the Business directly. Its contact details are shown on its booking page.
4. Accounts and security
- You must be at least 18 to create a business account, and you must give accurate, current information.
- You are responsible for keeping your login details confidential and for all activity under your account. Use a strong password that you do not use elsewhere.
- Business owners decide who in their team has access and with what role (owner, manager or staff). They are responsible for removing access when someone leaves.
- Tell us at once at hello@chairbookpro.com if you suspect unauthorised access to your account.
- Each booking web address (for example chairbookpro.com/b/your-shop) is unique. We may reclaim or change an address that is misleading, infringes someone else's rights, or impersonates another business.
5. Acceptable use
You must not use the Platform to:
- break any law or regulation, or help anyone else to do so;
- upload or publish content that is unlawful, defamatory, discriminatory, harassing, obscene, misleading or that infringes intellectual property or privacy rights;
- send spam or unsolicited marketing, or contact customers who have not agreed to marketing;
- upload malware, or try to gain unauthorised access to the Platform, other accounts or another Business's data;
- probe, scan, overload or disrupt the Platform, or get around its security, rate limits or plan limits;
- scrape, copy, resell or reverse-engineer the Platform, except where the law expressly allows it;
- create fake bookings, or bookings made to block another Business's diary.
We may remove content or restrict access where we reasonably believe these rules have been broken.
6. Subscription plans
Businesses choose one of these plans:
- Solo: for an independent stylist or barber. Includes 1 active team member, online booking and a business website.
- Business: for established salons and barbershops. Includes up to 5 staff members, a custom domain and the shop.
- Pro: up to 10 staff members and every feature, including advanced reports when they are available.
- Multi-location: for businesses with several branches, priced on request.
Current features and prices are shown on our pricing page. Plan limits are enforced by the Platform. We may change plan features or introduce new plans; we will give at least 30 days' notice of any change that reduces what your current paid plan includes.
7. Billing and payment
- Paid plans are billed in advance in pounds sterling (GBP), monthly unless stated otherwise. Prices include VAT where applicable.
- We will not charge you without first asking you to confirm a paid plan and enter payment details. Any free period or trial will be clearly described before it starts.
- We will give at least 30 days' notice of any price increase, which applies from your next billing period. You may cancel before it takes effect.
- If a payment fails, we will tell you and try again. If it is still unpaid after 14 days, we may restrict your account to read-only access until payment is made.
- Fees already paid are not refundable for partly used billing periods, except where the law requires it or we have broken these Terms.
8. Cancellation and closing your account
- You can cancel your subscription at any time. Cancellation takes effect at the end of the current billing period, and your account stays usable until then.
- After cancellation you can ask us to export your business data or to delete your account. Our Privacy Policy explains how long data is kept.
- Appointments already booked through your page remain your responsibility. Please let affected customers know if you stop trading.
9. Suspension and termination
We may suspend or close an account, with notice where reasonably possible, if:
- you seriously or repeatedly break these Terms, including the acceptable use rules;
- fees remain unpaid as described above;
- we are required to by law, or by a court or regulator;
- your use puts the Platform, other Businesses or customers at risk.
While an account is suspended, its booking page stops accepting new bookings. Where a suspension is not caused by a security risk or legal requirement, we will give you a reasonable chance to fix the problem first.
10. Your content and data
You keep ownership of the content and data you put on the Platform, such as your logo, photos, text, services, prices and customer records. You give us a non-exclusive licence to host, store, display and process that content only so far as needed to run the Platform for you. You confirm you have the rights to everything you upload.
How personal data is handled, including our role as a data processor for each Business's customer records, is explained in our Privacy Policy.
11. Intellectual property
The Platform, including its software, design, branding and the ChairBook Pro name and logo, belongs to us or our licensors and is protected by intellectual property laws. While your account is active, we give you a limited, non-exclusive, non-transferable right to use the Platform for your business. Nothing in these Terms transfers any of our intellectual property to you.
If you send us feedback or suggestions, we may use them without any obligation to you.
12. Service availability and changes
We aim to keep the Platform available and reliable, but we do not guarantee it will be uninterrupted or error-free. It may sometimes be unavailable for maintenance, updates or reasons beyond our reasonable control. We will try to schedule planned maintenance outside busy hours and to give advance notice where we can.
We may improve, change or withdraw features. If we withdraw a major feature of a paid plan, we will give reasonable notice and you may cancel.
13. Limitation of liability
Nothing in these Terms limits or excludes liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot be limited or excluded under the law of England and Wales.
Subject to that:
- we are not liable for the acts or omissions of any Business, including the services it provides or fails to provide;
- for business users, we are not liable for loss of profit, revenue, business, goodwill or anticipated savings, or for any indirect or consequential loss;
- our total liability to a business user in any 12-month period is limited to the subscription fees that business paid us in that period;
- if you use the Platform as a consumer, for example to book an appointment, you have legal rights that these Terms do not affect.
Business users agree to compensate us for reasonable losses caused by their breach of these Terms or of the law, including claims by their customers about their services.
14. Changes to these terms
We may update these Terms from time to time. The date at the top shows the latest version. If we make significant changes, we will tell business account holders by email or in the dashboard at least 30 days before they take effect. If you keep using the Platform after that, you accept the updated Terms.
15. Governing law and disputes
These Terms, and any dispute or claim arising from them or their subject matter, are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction. If you are a consumer living in Scotland or Northern Ireland, you may also bring proceedings in your local courts.
Please contact us first so we can try to resolve any concern informally.
16. General
- If any part of these Terms is found unenforceable, the rest stays in effect.
- If we do not enforce a right straight away, we can still enforce it later.
- You may not transfer your rights under these Terms without our consent. We may transfer ours, for example to a buyer of our business, if your rights are not reduced.
- These Terms and our Privacy Policy are the whole agreement between us about the Platform.
